Primary Objective: Provide administrative support to the Tax, Trust & E state Department (TTE Department) professionals to ensure a ccurate and timely client service.
Outcomes :
1. Provide s administ rative support to the TTE Department to provide accurate and timely estate planning, tax and other legal consulting services to FCI clients .
2. Operate in a fast-paced legal environment requiring a high level of accuracy, time management, organization, and professionalism.
3. Facilitate recordkeeping as necessary for the TTE D! epartment, including the collection and safekeeping of client ! documents, consultant notes and correspondence.
4. Communicate effectively with clients, FCI personnel, and outside professionals as necessary to provide accurate and timely client service.
5. Act as a back-up for other office administrative functions, including wires, mail checking, reception, and mailroom.
Essential Job Functions and Responsibilities:
1. Provide administrative support to the TTE Department professionals, including, but not limited to, scheduling meetings, managing calendars, arranging travel, ordering and stocking necessary office supplies, updating project lists, tracking time, and hosting guests.
2. Coordinate activities through effective communication with clients, FCI employees and outside professionals as requested, including, but not limited to, answering telephone calls, responding to electronic mail, mailing and sending facsimiles, typing letters and memoranda, and forwarding correspondence.
3. Expedite the proc! ess of correspondence, including, but not limited to, opening, date stamping and routing mail; printing and filing electronic mail; preparing invoices for approval and payment; reconciling statements; and processing expense reimbursements.
4. Organizing and maintaining TTE Department files, including documentation, notes and correspondence.
5. P repare facilities and materials for events and meetings , including working with the FCI IT Department to ensure that equipment is operational.
6. Assist as necessary with the formatting, copying and assembly of deliverables to be used in conjunction with client estate planning meetings.
7. Provide back-up coverage for other office administrative functions, including wires, mail checking, reception and mailroom.
8. Complete other miscellaneous projects and participate in C ompany initiatives as assigned.

Education and Experience:
1. Associateâs degree or business certificate required.
2. Minimum 1 year related experience in a professional and fast paced office environment. Law firm experience helpful, but not required.
3. Intermediate Microsoft Office Suite skills.

1. Sitting, talking at a moderate volume level, hearing, fingering/grasping constantly
2. Standing, walking, reaching frequently
3. Bending, stooping, kneeling, and crouching as necessary to facilitate filing
4. Lifting up to 25 pounds occasionally
5. Operating audio visual devices and standard office equipment , such as computers, t! elephones, fax machines, and photocopiers
6. Typing and entering da! ta on a computer at a speed necessary for successful job performance
7. Looking at computer screen regularly
