Seattle Urban Farm Co (SUFCo) is a local small business dedicated to improving our food system and community through high-quality design, installation and maintenance of urban farms and gardens. We are looking to hire a talented new team member to help advance our company as a leader in urban agriculture. The Business Manager will be responsible for overseeing and maintaining financial health of Seattle Urban Farm Company (SUFCo), managing general office operations, and creating business and operational improvements. > Accounting and Financial Management - 50%
This position is generally responsible for managing daily financials and monitoring company financial health in partnership with the business owners. Key tasks include managing cash flow, invoicing, billing, and analyzing financial, project and pricing data.
Analyze and manage regular P&L to achieve profitability:
Work efficiently with a shared QuickBooks file to accomplish all accounting related tasks in partnership with a contract Bookkeeper and contract Accountant as well as the CEO.
Develop budget and projections for future years
Accounts Payable (A/P):
Manage vendor relationships, process invoices, ensure on-time payments, manage company cash flow.
Ensure all taxes, licenses and fees are up to date and paid.
Administer, authorize and monitor usage and activity of company credit cards.
Accounts Receivable (A/R):
Manage contract Bookkeeper, who updates accounts 1-! 2x monthly.
Manage invoicing:
Work with sales team to build accurate invoices for projects.
Ensure on-time payment from clients; minimize aging.
Ensure on-time distribution and receipt of fees, deposits, balance payments.
Process all checks received in a timely manner.
Improve/streamline recordkeeping to determine margins and increase pricing accuracy.
Payroll:
Work with managers to ensure all employee data is loaded accurately and in a timely manner using Google Docs time tracking spreadsheets.
Ensure appropriate funds are available for payroll withdrawal.
Troubleshoot payroll related questions for SUFCo staff.
Liaison with contracted Accountant:
Manage a close relationship with contracted Accountant and CEO to analyze all financial aspects and decisions of the company to maximize profit and minimize loss.
Ensure all bank recs are completed within appropriate timeframes.
Ensure monthly, quarterly, and annual paper! work is filed and paid in a timely manner.
> Office Management an! d Client Relations - 25%
Client Services:
Provide the highest level of customer care via email, phone and in-person communications
Act as the first point of contact for email inquiries:
Track incoming inquiry data for use in financial projections and transitioning prospective leads to active clients
Office Systems:
Manage general calendar and email inbox
Develop effective cross-company calendars and associated protocols for:
Off-time requests
Company communications and marketing milestones
Accounting and billing milestones
Manage SUFCo organizational and data tracking systems including employee timesheets, payroll, time tracking sheets, client lists and material inventory
Develop a simple Employee Handbook including policies and procedures for SUFCo employees
Manage general customer accounts:
Implement a new third-party client relationship management (CRM) tool
Develop a general ticketing system for project-speci! fic requests or change orders
> Team Leadership - 25%
Co-manage weekly team meetings
Partner with the CEO in guiding the Farm Team (Design, Installations and Maintenance) to set project goals and define creative and cost-effective solutions on major projects (Includes CEO, Maintenance, Installation and Design Managers)
Partner with the Management Team to develop and implement a strategy for sales, marketing and project priorities that generate revenue, build a pipeline for future larger-scale projects and achieve SUFCoâs mission
Collaborate with the Management Team to implement a process for setting annual company goals, month-by-month priorities, and major annual milestones for each team
> Qualifications
Required:
Degree in business or business administration preferred
2+ years professional experience working in small business management
A general understanding of the local food economy
Good written and verbal communication! skills
Excellent record-keeping and organization skills
Knowle! dge of accounting, tax law, financial management
Self-starter, flexible leader, team player, and sensitive to the demands and idiosyncrasies of a small business
Desired:
Management experience and working knowledge of human resources
Experience with systems thinking and operational growth

This position will commence at part-time (average 20-30 hours per week), with a goal to transition to a full-time, permanent position by mid 2014.
