NOW HIRING FOR DOCUMENTATION CONTROL SPECIALIST IN BURBANK CALIFORNIA

Classifies, stores, retrieves, and updates generated information by performing the following duties.

Duties and Responsibilities: Other duties may be assigned.

  • Learn and maintain informational databases including but not limited to SmartSheet, SharePoint, Gensuite and PMI Results reporting (Material Analyzer software) for Quality and EHS related activities.
  • Facilitate, support and help administer documentation & processes associated with site ISO internal audits (9001/14001/45001)
  • Facilitate/administer Material Review Board activity for reworks and supplier chargebacks
  • Facilitate/administer Management Of Change (MoC) activities
  • Participates & may lead Kaizen events related to improvement initiatives
  • Maintain & organize electronic files from multiple formats (Excel, Word and PDF) into data books (large pdf files) by Work Order, Material Heat # and Purchase Order identification
  • Reads incoming material (certifications, documentation, and test reports), verifies accuracy, and sorts and codes according to file system.
  • Stores material in paper form, or enters information into computerized storage system.
  • Maintains accurate records of calibration activities. Ensures calibrations are carried out on schedule and in accordance with procedures.
  • Retrieves materials for qualified personnel upon request.
  • Searches for and investigates information contained in files, inserts additional data on file records, completes reports, and keeps files current.
  • Keeps track of borrowed materials and ensures they are returned.
  • Disposes of obsolete files in accordance with established retirement schedule or legal requirements.
  • Scans materials or copies records, and examines materials for legibility.
  • Types labels on reports.
  • Implements changes to the filling system when directed to do so.
  • Remove incoming material from receiving inspection to warehouse. Follow up with dock to stock paperwork and documentation.

Supervisory Responsibilities:

  • This job has no supervisory responsibilities.

Qualifications:

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • Prior experience working in a manufacturing environment preferred.

Educational Requirements:

  • High school diploma or equivalent (GED)
  • 3-5 years related experience and/or training; or equivalent combination of education and experience.

Skills / Equipment:

  • Good skill/understanding of MS Office (Word and Excel) as well as the ability to quickly merge and manipulate information in PDF files formatting using Adobe, Nuance is similar programs.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.

Starting Pay is $24 per hour but may be adjusted based on qualifications and experience. This is a full-time, hourly position.

Integrated Management System (IMS) Authority and Responsibility

Employees have the authority and responsibility for the following:

  • Supporting the Quality, Environmental, Health, Safety (QEH&S) policy, and strategic direction of the organization.
  • Implementing and sustaining the Integrated Management System (IMS).
  • Participating on quality and EH&S improvement teams and committees.
  • Providing input and implementing actions to support quality and EH&S objectives.
  • Providing input and implementing the accountability system.
  • Following and enforcing company rules and procedures to ensure compliance with legal and other requirements.
  • Conducting SWOT analysis to assist in the identification risks, hazards, environmental aspects and control of risks.
  • Ensuring that quality and EH&S are considered (following the Management of Change procedure) when making changes involving processes, equipment, materials, procedures, building layouts and personnel.
  • Attending required EH&S training and ensuring employees attend required training.
  • Ensuring on-the-job training to new and transferred employees is provided.
  • Communicating relevant information regarding quality and EH&S to employees.
  • Conducting EH&S management audits, identifying root causes of deficiencies and implementing preventive/corrective actions
