Events Coordinator

The Campus Events and Conferences Coordinator is primarily responsible for working with the Presidentâs Office to plan and execute major events on campus, as well as working! with other departments to plan and support college events, and assisting with external events held on campus throughout the year. Excellent communication skills required to interpret and explain college policies and procedures, to analyze issues and programs, and to recommend a course of action to ensure that individual events run smoothly. The Coordinator will be required to exercise independent judgment, demonstrate initiative, and act as a resource for the campus community and external organizations. The Coordinator reports to the Director Campus Events and Conferences.
Principal Accountabilities:
1. Responsible for event coordination, from conception to execution, of most Presidential events, working closely with the Presidentâs Office and campus support departments.
2. With the Director, coordinates with various departments to plan/execute special events â" Opening Week, Visitorsâ Day, Interim, High School Debate Tournament, Undergrad! uate Conference, Music Department Recitals and Concerts. Atten! ds planning meetings and all events, as needed.
3. Ability to use the EMS scheduling program to assist the Director and Administrative Assistant to schedule and reserve all College facilities for internal and external events. For facilities not controlled by this department (i.e., Hall of Music, Sherwood Center, Baker Ferguson Fitness Center, Harper Joy Theater, Memorial, Penrose Library), the Director and Events Coordinator serve as a broker of space, making the initial arrangements with the appropriate department on behalf of the client..
4. Excellent verbal and written communication skills; understanding of insurance requirements, facility guidelines, and other college/legal policies. Provide follow-up to be sure the above requirements are met.
5. Prior to event, ensures that the event space is properly set up and all requested technology, food, etc. is provided. Follow-up after event to be sure space is clean for next reservation.
6. ! Generates and distributes weekly reports to academic and administrative departments including Campus Security and the Physical Plant.
7. Assists with the coordination of all summer programs.

8. Must be comfortable with using technology and audio visual resources.
9. Understanding of event planning and scheduling.
QUALIFICATIONS
Experience in events coordination/management experience. College degree preferred. Possess general computer skills including word processing, spreadsheets and ability to learn and use the EMS scheduling software and Meeting Matrix layout design program. Manage multiple tasks and exercise sound judgment; operate effectively in a fast-paced environment; operate independently as necessary while working cooperatively as a member of a team. Exhibit a congenial attitude, good organizational skills, great degree of accuracy and attention to detail, with the ability to function well during stressful times of heavy workloads and constant interruptions. Excellent interpersonal, language and communication skills; an awareness of the sensitivities to others is extremely important. Must be ab! le to work flexible and long hours. Confidentiality is vital.
