PST Art is a collaboration of dozens of museums and cultural organizations throughout Southern California that in 2024 will present an ambitious range of exhibitions and public programs exploring the connections between the visual arts and science, from prehistoric times to the present and across different cultures. Among the themes PST Art exhibitions and programs will explore are climate change, environmental justice, Indigenous forms of knowledge, artificial intelligence, and surveillance technology.

The Public Programs Coordinator will help realize an ambitious public programming slate for PST Art through detail-oriented work with internal and external stakeholders. This role will interface with more than 50 partner organizations to catalogue activities across Southern California and to make those events legible and accessible to as wide as public as possible. This role will also support large-scale, Getty-led programming, navigating contract event producers, internal programmers, and content providers, to ensure that events for families, young adults, and general audiences succeed.**NOTE: Getty employees are required to live within commuting distance. Major Job Responsibilities:
With direction from the Senior Public Programming Specialist, and the broader organizing group for Pacific Standard Time, support the implementation of a robust programming schedule for PST Art’s 2024 edition, Art & Science Collide. Work may include:
Administrative tasks related to major programming, in concert with external production contractors, from undertaking modest event production research to correspondence to documentation and schedules- Communication with Getty Foundation grantees to collect partner programming information
- Maintaining a public programming calendar for internal use, as well as coordinating and maintaining in the PST Art website CMS a calendar for public use
- As appropriate, on-the-ground, in-person support during public events
- From September 2024 through February 2025, this role will often be in the field across PST Art partner organizations and at major events
- Works with internal departments to help coordinate public program logistics
- May plan and execute public programs along with event sponsors (e.g., curators, directors, department heads)
- Arranges catering, security, staffing and parking
- Collaborates with outside vendors
- Coordinates travel, accommodations and reimbursements for visiting artists, speakers and project researchers
- Generates contracts and supporting documents for visiting artists or project researchers
- Disseminates information to program attendees
- Maintains records for assigned program spending and allocated budget
- Archive program records, guest lists, and archives
- Bachelor’s degree
- 1-3 years of project/process management and/or event planning experience as well as administrative experience.
This position requires close attention to detail; strong communication skills to work effectively with both internal and external stakeholders; ability to quickly and calmly assess and resolve problems; and, ability to travel frequently to partner organizations across Southern California.

- Ability to manage projects, beginning to end
- Strong communication skills and ability to work with people at multiple levels, internally and externally
- Ability to manage multiple, sometimes competing deadlines
- Proficient in basic office software and procedures, including standard content management systems for web publishing
- Ability to manage last-minute changes and troubleshoot urgent situations
- Ability to integrate ongoing office administration into project-driven workload
- Enthusiasm for and interest in art and science a plus
