Our Mission

The J. Paul Getty Museum seeks to inspire curiosity about, and enjoyment and understanding of, the visual arts by collecting, conserving, exhibiting, and interpreting works of art of outstanding quality and historical importance and is one of four programs of the J. Paul Getty Trust. The Museum operates two sites, the Getty Villa in Malibu, which exhibits its collection of Greek and Roman antiquities, and the Getty Center in Brentwood, which displays its collections of European art: Medieval and Renaissance illuminated manuscripts, paintings, sculpture, decorative arts, drawings to 1900, and photography to the present day (including non-European works). The Museum mounts approximately 25 temporary exhibitions a year across its two sites; maintains an annual permanent gallery improvement program and offers wide-ranging and ambitious programming for its visitors.

The J. Paul Getty Museum seeks an experienced individual for Registrar for Exhibitions. Reporting to the Head of Registration, the Registrar for Exhibitions oversees and manages the budgeting, record keeping, and shipping and courier arrangements for museum loans and exhibitions. They ensure that the highest standards in safe, professional handling are followed when lending, borrowing, packing, shipping, securing, importing, exporting and insuring works of art, as well as overseeing the master art shipping schedule. The successful candidate is also responsible for the supervision of the Assistant and Associate Registrars for Exhibitions, and Associate Registrars for Outgoing Loans and Incoming Loans. Maintains frequent contact with curatorial, conservation, preparation, exhibition, and administrative staff, Getty Risk Manager, representatives of other museums and institutions, brokers, dealers, lenders, and shipping and crating vendors.
Major Job Responsibilities:
  • Manages special exhibition planning for the Registrar’s Office; attends planning meetings; reviews master exhibition schedule and advises Head of Registration of conflicts; reviews exhibition contracts and venue agreements; provides budget estimates for packing, shipping, escorting, and insuring.
  • Coordinates loans to the collections for special exhibitions: reviews loan request letters, prepares loan agreements and coordinates with Director’s Office, Exhibitions and curatorial departments on sending them out; prepares loan qualifying questionnaires on the Museum's facility and procedures for lenders; reviews and negotiates lenders’ loan conditions including packing, shipping, couriers, security, insurance, immunity from seizure and storage or display conditions; develops and coordinates shipping schedule with lenders and shippers and helps determine installation and deinstallation schedules with Exhibitions, curators, conservators and preparators.
  • Makes shipping and courier arrangements for special exhibitions and reviews shipping and courier arrangements made by the Associate Registrars for acquisitions, deaccessions, donations, loans to the collection and loans from the collection: researches and selects best mode and route of transport for each shipment, considering environmental conditions, handling, security and cost; negotiates with agents, brokers, couriers, and carriers; monitors packing; instructs outside packers, couriers and other vendors; checks shipments in and out; coordinates condition reporting; tracks objects in transit; coordinates packing and shipping with Museum staff, Security, Logistics and outside contractors; maintains master shipping schedule; ensures that transport information is properly recorded by Assistant and Associate Registrars; reviews shipping invoices; may act as courier.
  • Coordinates the clearing of works of art through U. S. Customs: researches import/export regulations to ensure shipments conform; reviews and processes agent invoices.
  • Prepares and maintains shipping, courier, and insurance budgets of special exhibitions. Uses Excel and Financial Information System (FIS) to process invoices and track costs and provides quarterly estimated actuals.
  • Assists in maintaining the quality and accuracy of object documentation in The Museum System (TMS): enters or oversees the entry of and proofs records in exhibitions, loans, shipping and master catalogue modules.
  • Determines insurance requirements for special exhibitions and shipments: coordinates with Trust Risk Manager, and reviews insurance certificates and condition reports to protect Museum's liability; prepares U.S. Indemnity applications in conjunction with Exhibitions, Curatorial, Conservation, Preparations & Security Departments; prepares and distributes indemnity and insurance certificates to lenders.
  • Drafts and revises procedures and instructions related to shipping and loans; designs forms; recommends improvements to automated and manual recordkeeping systems.
  • Drafts annual reviews for Assistant and Associate Registrars for Exhibitions and Associate Registrars for Incoming Loans and Outgoing Loans. Along with Head of Registration, meets with them to discuss reviews and set goals. Monitors progress on goals during the year.
  • Is primary registration contact for Certified Cargo Screening Program (CCSP) within the Museum; maintains highest compliance with TSA standards; oversees preparations for periodic inspections; writes departmental procedures as needed.
  • Responsible for the operations of the department in the absence of the Head of Registration. Takes over Assistant and Associate Registrars’ loans and shipments in their absence if necessary. Maintains a general knowledge of all other procedures utilized by the Registrar's Office and shares with other staff members as necessary.
  • Undertakes special projects as directed by the Head of Registration.
Qualifications:
  • Bachelor's degree in art history or a related field; Master's degree in art history or a related field preferred
  • 5-7 years experience covering all aspects of registration or rights and reproductions

Knowledge, Skills and Abilities:
  • 5-7 years of museum registration experience or some combination of experience that would develop skills in collections management, art handling and movement preferred
  • Understanding of and experience with various means of local, national, and international transport of works of art
  • Proven knowledge of database systems, collection management systems, imaging software and database reporting mechanisms
  • Applies knowledge of best practices in lending and borrowing art and in art handling and shipping, including packing methods and the various means of local, national and international transport and how each affects works of art
  • Proven supervisory and project management experience
  • Strong administrative skills to handle paperwork and meet deadlines
  • Reading and conversation skills in one foreign language preferred
  • Excellent verbal and written communication and interpersonal skills
  • Must be detailed-oriented, flexible, and able to work on several complex projects at once
  • Proven experience dealing with confidential information
